Contest Rules

Eligibility: Arizona Press Club’s Best of Photojournalism 2003 Contest is open to any one who regularly works in the production of news for any Arizona newspaper, magazine or news service. Trade publications, student media and work produced for advertising, marketing or other departments are not eligible. All entries must be produced for the editorial department of an Arizona publication, news web site or wire service. A photograph must entered under the name of the publication or agency the individual was working for at the time the image was taken.
Contest Period: All single category entries must have been published in the 2003 calendar year. A majority of all photo story or portfolio picture story entries must have been published in the contest year.
Entry Fees:
Publications over 75,000 circulation: $30/person to enter the contest & $10 for each entry
Publications under 75,000 circulation: $10/person to enter the contest & $5 for each entry
Number of Entries: A single category entry consists of only one photo, except in photo story categories E0 and E5. Enter as many times and in as many categories as desired. However, no photo may be submitted more than once, except in Photographer of the Year category. Entries will not be returned.
New Contest Entry Forms: With your CD also return the Entry Fees Form and the Contest Entry Form. This change eliminates the need for an entry form for each photo entry.
Deadline: Entries must be postmarked by January 31, 2004

General Rules: The Arizona Press Club promotes ethical journalism and recognizes that contest rules cannot envision every potential breach of professional standards. The Press Club reserves the right to disqualify any entry or withdraw and award, based on ethical violations or violations of rules as noted in the rules, as deemed by the board. Entries that do not conform to the rules will be disqualified. If an entry is disqualified, the prize will be awarded to the next winner. Disqualified entrants will forfeit their entry fees.
Grievance Policy: For problems, concerns and complaints about the contest, the contest chairperson shall notify the Grievance Committee, which is the president and executive officers. The committee will rule on the matter or forward it to the full Press Club board for final approval.
Disclaimer: The Arizona Press Club is not responsible for lost, mislaid or damaged entries but will take responsible care processing the entries.
Awards: If there is a tie for first place, no second-place award is given. If there is a tie for second place, no third place award is given.

Metro Photo Category
• Open to all publications of any circulation
E0.
Photo Package
Multiple photo packages should be entered in this category.
This category seeks to reward good photo combos that are often seen on
section fronts. Entries should consist of two or three photos only, of any
content.
E1. E1 Spot News A single photo of an unscheduled event for
which no advance planning was possible.
E2. General News A single photo from a scheduled news event
for which advance planning was possible.
E3. Portrait/Personality Single photo of person or persons revealing
the essence of a subject’s character.
E4.
Feature Photography A picture of a “found”
situation that features strong human interest, or a
fresh view of an everyday scene.
E5.
Picture Story A group or sequence
of four or more used to reveal a single story line. Any
subject matter is appropriate. All photographs must be published. Maximum

photos per story.
E6. Illustration photography A photo based illustration displaying
outstanding execution, with digital or other
means, for an idea that raises the bar on
creativity for any situation such as fashion,
food, portrait or cover illustration.
E7.
Sports Action A peak action
photograph that captures the competitive spirit and game of an
athletic event.
E8. Sports Feature A sports related feature picture other than game action outside the field of play.
E9. Pictorial A single graphic image that expresses beauty and other abstract concepts through composition, tonal or color relationships more than through human interaction.

n Proof of publication is not required. However, entrants must provide proof if challenged.
n Each publication’s photo department will submit one (or more, if necessary) Mac-formatted CD-ROM containing all photo entries. Label each CD with your organization’s name and number of disks (1 of 2, 2 of 2).
n Be sure that each image has all of the specified fields filled out in the File Info. The photographer will be contacted by the email or by the number given in the File Info of the photograph.
n Entries in E6 Photo Illustration must include a tear sheet with image or copy of the story with copy of photo. Each entering organization should include only one folder with all photographer’s clips included, along with the CDs.
n For E5, Picture Story, no written paragraph should be provided. Make full use of the caption info to inform the judges of relevant information. Photos should drive the story but the strength of the captions my give the story an advantage.
This year’s contest is almost completely digital so specific information is required in the file info of each image. Please list carefully and correctly all information asked for so your images can be tracked back to you.
Different organizations use different kinds of programs to caption images so the basic Photoshop categories are used for the required information.
Open File info under the file menu of photoshop.
Fill out the following fields:
Title: Write the file name here as well.
Caption: The captions should at least answer: who, what, where, when and why.
Date created: When was the photograph taken?
City: Where was the photograph taken?
State: Where was the city located?
Country: Where was the State/Province located?
Credit: Photographer’s name.
Source: Who you work for.
Transmission ID: Enter your email address: This is the field we are using to send you information about the contest, so make sure the address is correct.
Copyright: Check the box, and in the field next to the box,
identify who
has the copyright.
Instructions: Enter a phone number where you can be reached if there are any
questions about your entry.
Save each image as a RGB or grayscale file. Do not use CMYK.
Final
image size of each individual picture should be 11 inches longest dimension at
250 DPI, or in pixels, 2700 longest dimension. Uncompressed RGB file size should
be about 8-12 MB.
Save
each file as JPEG (quality at least “7” or “good”).
The compressed file size should be about 1 MB.
Naming of each digital image
Each image must have been saved in the manner specified here. Any typos in the file name may cause the images to be incorrectly sequenced or dropped from the picture story. Do not use the same title for different picture stories within the same category. Please save files listed in this order separated by a period.
• The photographer’s three initials
• The category code
• The photo title (one word only)
• For photo stories the number in the sequence they
should
appear in a three number form. (Example 001)
• The file marker

Folders/Single Entries
The
images on the CD-ROM should be divided into separate contest category folders.
For example, all photographers at a publication should put their portrait
entries into one folder labeled “PORTRAITS,” all spot news entries into one
folder labeled, “SPOT NEWS,” etc.
Picture Story
Photo story entries should have their own folder with all files inside together. No individual folders should be necessary for each story.

• Open to all publications of any circulation • Entry Fee: $25.00 per person
A portfolio may consist of any number of individual entries from the E classification, but no more than 40 entries, and prepared according to the general rules. Photos entered in the previous year’s competition and photos republished from a prior year are not eligible. Only four entries within the portfolio can be unpublished, including one photo story. Unpublished images must be clearly labeled by writing “Unpublished” before the caption.
Portfolios must contain images representing at least five of the nine categories
in the
E classification, with at least one news photo (E1 or E2) and one picture story
(E5).
A picture story counts as one entry.
Proof
of publication is not necessary, but entrants must be prepared to show proof if
challenged. Unpublished images must be clearly labeled by writing “Unpublished”
before the caption.
The winner will receive $250, award and certificate; first runner up and second runner up will receive a certificate.
POY Entries
The POY entries should have their own folder with folders inside listed with the photographer’s three initials. The photographer’s initials, POY, and the number in the series should label each image.

The POY entry should be in its own folder, labeled with the photographer’s three initials and filled with images named in the above manner.
